Receptionist
Position Overview:
The Receptionist ensures smooth daily operations by supporting therapists, clients, and management. This role requires excellent communication, organization, and multitasking skills to maintain a welcoming and efficient front desk environment.
Key Responsibilities:
Client & Therapist Support

Greet clients, manage check-ins/outs, process payments, and book/rebook appointments.

Maintain awareness of the day’s and week’s schedules—identify and fix gaps, room changes, or missing information.

Support therapists in client transitions and ensure a seamless experience.
Administrative & Office Duties
-
Answer phones, respond to Google Messages, and manage communications promptly.

Maintain client files, QuickBooks data entry, and MindBody records.
-
Assist management with office tasks and reports as needed.

Keep the front desk, lobby, and common areas clean and organized.

Perform light maintenance and restocking of supplies.
Sales & Promotion
-
Confidently discuss promotions and rebooking with clients in an authentic, professional manner.
Team & Culture

Collaborate respectfully with a team of emotional, empathetic professionals.
-
Encourage professionalism and stay focused despite distractions.
Provide gentle reminders to others as needed to maintain standards.
Qualifications:

Valid driver’s license.

Proficient with computers and web-based tools.
-
Ability to learn and use: MindBody, QuickBooks, Google Messages, and WhatsApp.

Strong communication, organization, and time management skills.

Calm and adaptable under pressure with frequent interruptions.
-
Understanding of basic massage concepts and a personal commitment to receiving massage biweekly.

Positive, enthusiastic, and self-motivated attitude.
Daily / Weekly Tasks:
Daily
-
Open and close office: lights, diffusers, temperature, and cleanliness.

Review messages, notes, and schedules; adjust or confirm appointments.

Process payments, client files, deliveries, and communication follow-ups.
-
Keep bathrooms, lobby, and work areas tidy and stocked.
Weekly / Biweekly
-
Ensure therapists complete required tasks (SOAP notes, rebooks, clean-up).

Maintain sheet closet and supplies.
-
Complete tasks listed in Google Calendar.
Monthly
-
Update and display current specials and promotional materials.
-
Assist with inventory and restocking.
