Receptionist

Position Overview:
 

The Receptionist ensures smooth daily operations by supporting therapists, clients, and management. This role requires excellent communication, organization, and multitasking skills to maintain a welcoming and efficient front desk environment.

Key Responsibilities:

Client & Therapist Support

  • Greet clients, manage check-ins/outs, process payments, and book/rebook appointments.

  • Maintain awareness of the day’s and week’s schedules—identify and fix gaps, room changes, or missing information.

  • Support therapists in client transitions and ensure a seamless experience.
     

Administrative & Office Duties

  • Answer phones, respond to Google Messages, and manage communications promptly.

  • Maintain client files, QuickBooks data entry, and MindBody records.

  • Assist management with office tasks and reports as needed.

  • Keep the front desk, lobby, and common areas clean and organized.

  • Perform light maintenance and restocking of supplies.
     

Sales & Promotion

  • Confidently discuss promotions and rebooking with clients in an authentic, professional manner.
     

Team & Culture

  • Collaborate respectfully with a team of emotional, empathetic professionals.

  • Encourage professionalism and stay focused despite distractions.

Provide gentle reminders to others as needed to maintain standards.

 

Qualifications:

  • Valid driver’s license.

  • Proficient with computers and web-based tools.

  • Ability to learn and use: MindBody, QuickBooks, Google Messages, and WhatsApp.

  • Strong communication, organization, and time management skills.

  • Calm and adaptable under pressure with frequent interruptions.

  • Understanding of basic massage concepts and a personal commitment to receiving massage biweekly.

  • Positive, enthusiastic, and self-motivated attitude.

Daily / Weekly Tasks:

 

Daily

  • Open and close office: lights, diffusers, temperature, and cleanliness.

  • Review messages, notes, and schedules; adjust or confirm appointments.

  • Process payments, client files, deliveries, and communication follow-ups.

  • Keep bathrooms, lobby, and work areas tidy and stocked.
     

Weekly / Biweekly

  • Ensure therapists complete required tasks (SOAP notes, rebooks, clean-up).

  • Maintain sheet closet and supplies.

  • Complete tasks listed in Google Calendar.
     

Monthly

  • Update and display current specials and promotional materials.

  • Assist with inventory and restocking.
